Job Description:  Festival Assistant

The Festival Assistant is responsible for assisting the Festival Manager with duties related to office administration and event planning.

Location: The position is located in Twillingate NL.

Duration: 2 July – 5 October 2018

Type:  Contract

Remuneration:  Wages commensurate with experience

Under direction of the Festival Manager provide administrative tasks to assist the Festival Manager in the management of all aspects of the Unscripted Twillingate Digital Arts Festival; including but not limited to:

  • Helping set up, organize and maintain the festival office during the festival season;
  • Acquiring/ maintaining approved office supplies
  • Managing general festival communications including
    • answering festival phone calls
    • collecting/ mailing festival mail
    • monitoring general info email inbox
    • receiving visitors to the office
  • Managing the filing and organizing of festival information and documents including both hard files and electronic files managed through a combination of hard drive, USB and Dropbox filing options
  • Assisting with financial administration
  • Doing/ recording bank deposits
  • Setting up and maintaining petty cash including documentation of transactions
  • Assisting Festival Manager with financial reporting
  • Assisting with marketing (helping develop and proofreading marketing materials, distributing materials throughout the local area/ region, attending info booth at
    Fish Fun and Folk festival, etc.)
  • Assisting with website updates (proofreading content, posting approved content)
  • Creating/ maintaining database of relevant contact info for all festival stakeholders (board members, businesses, community partners, funders, presenters, suppliers, etc.)
  • Assisting Festival Manager with the planning and execution of all festival events/activities:
    • Compiling submissions from prospective festival presenter and speakers
    • Arranging accommodations for contracted festival presenters and speakers; creating/ maintaining a tracking document for accommodations
    • Arranging venues for festival events; creating/ maintaining a tracking document for venues
    • Acquiring presenter/ speaker gifts as well as acquiring supplies for festival activities/ events as required
  • Doing ticket/ merchandise sales through Eventbrite and onsite at office or event venues
  •  Assist other festival staff (and volunteers as needed)

At the end of the festival season, assist with:

  • the compiling of a Festival Manual providing an overview of the festival planning/ coordination details
  • the dismantling of festival office including the documenting, organizing and storing of all festival equipment, supplies and documents
  • Other related duties as assigned by the Festival Manager/ Board of Directors


  • Have experience and strong skills in office/ administrative support or related field, including strong organizational skills
  • Have strong interpersonal and communication skills (written and oral)
  • Skilled in word processing (MS Word) and email with some experience in social media platforms
  • Have flexibility to work occasional hours outside of regular office hours, especially during the festival week
  • Ability to work well under limited supervision and in a team setting
  • Possess a valid driver’s licence and have the use of a reliable vehicle
